Who is responsible
For records about learners, families and staff, your school is the data controller: it decides what is collected and why. Mullahc runs Mullahc Edu v2 for the school and acts as its data processor. For our own website visitors and for school billing, Mullahc is the controller.
What is processed
- Learner details: names, class, admission number, attendance, assessments, health notes the school records, fees and homework.
- Parent and guardian details: names, phone numbers, email, relationship to the learner.
- Staff details the school records.
- Account and device information needed to sign in, send notifications and keep the service secure.
Why
To run the school's day-to-day work: registers, results, fees, communication, transport, meals, boarding and learning. We do not use school data for advertising and we never sell personal data.
Children's data
Most records are about children. They are handled only on the school's instructions, are visible only to the people the school allows, and get extra protection.
How it is protected
- Each school's data is kept separate from every other school's.
- Access is by role: a teacher, a bursar and a parent each see only what they need.
- Connections are encrypted, sensitive settings are encrypted, and important actions are logged.
- Our support staff can only open a school's records through a time-limited, logged support session the school can see.
Sharing
Information is shared only with services needed to run Mullahc Edu v2: hosting, SMS and email delivery, push notifications and payments. They may only use it for that purpose.
Your rights
Under Kenya's Data Protection Act, 2019 you may ask to see, correct or delete your information. Because your school owns the records, please make these requests to your school. In the app you can do this from Settings → Request account deletion, or contact the school office.
How long it is kept
Your school decides how long records are kept, within the law (for example, financial records must be kept for a set number of years). See "Data ownership & retention".
